We are seeking an experienced Executive Support Specialist to join our team at Vibe Recruit Limited. As an Executive Support Specialist, you will provide high-level administrative support to our senior leadership team, ensuring the smooth operation of our business.
Key Responsibilities:
- Manage the day-to-day administrative requirements of our senior leadership team, including scheduling meetings, preparing correspondence, and maintaining accurate records.
- Coordinate complex schedules, ensuring that all meetings and appointments are properly managed and that conflicts are minimized.
- Provide exceptional communication and interpersonal skills, ensuring that all interactions with internal and external stakeholders are professional and courteous.
- Prepare and maintain accurate and detailed records, including meeting minutes, reports, and other documents as required.
- Arrange travel and accommodation for senior leadership team members, ensuring that all necessary arrangements are made in a timely and efficient manner.
- Process expenses and maintain accurate financial records, ensuring that all financial transactions are properly recorded and accounted for.
- Provide administrative support to the wider leadership team, as required.
Requirements:
- Board-level or senior management-level experience as an Executive Assistant or Personal Assistant.
- Excellent time management and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Exceptional communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders.
- Discretion and trustworthiness, with the ability to maintain confidentiality and handle sensitive information.
- Ability to think outside the box and demonstrate a sense of urgency, with a strong attention to detail and a commitment to delivering high-quality results.
- Strong business sense, with the ability to understand and interpret business requirements and priorities.
- Organizational skills and the ability to multi-task, with a strong focus on delivering results in a fast-paced and dynamic environment.
