Job Summary

We are seeking a highly organized and detail-oriented Clinic Manager to join our team at Kedras Clinics. The successful candidate will be responsible for providing administrative support to the CEO/Clinical Director and ensuring the smooth operation of our clinic.

Main Responsibilities
  • Manage the clinic's diary system, ensuring efficient scheduling and time management.
  • Coordinate meetings, including preparation and distribution of agendas and minutes.
  • Provide exceptional customer service, greeting clients in a trauma-informed and professional manner.
  • Handle all invoicing and payment of therapeutic sessions.
  • Liaise with external agencies as required.
  • Organize and maintain all paperwork, including online systems related to clinical governance.
  • Design and implement efficient office systems and procedures.
  • Manage all correspondence, including email, mail, phone calls, and social media.
  • Update social media and respond to interactions.
  • Assist with event management and associated paperwork.
  • Prepare reports, letters, and emails as required.
  • Deal efficiently with a high-volume inbox, prioritizing emails and taking action independently.
Requirements
  • Scottish Credit and Qualification Framework level 7 (Advanced Higher/SVQ Level 3, HNC) or an undergraduate degree in a relevant subject (such as psychology) with experience in Clinic Manager duties.
  • Equivalent and/or ability to demonstrate the competencies required to undertake the duties associated with this post.
  • Knowledge of Microsoft Office programs and applications, including Word, Excel, PowerPoint, Outlook, and OneDrive.
  • Excellent communication and customer service skills, with the ability to engage with others in a professional and empathetic manner.
  • Ability to plan, organize, and prioritize effectively, responding to changes in demands and pressures.
  • Excellent stakeholder management skills, with the ability to build productive working relationships with colleagues and externally.
Desirable
  • Knowledge and understanding of the mental health sector, particularly within private mental health clinics.
  • Interest in psychotherapies, with a willingness to develop knowledge further as the post develops.
