Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Clinic Manager at Kedras Clinics. The successful candidate will be responsible for providing administrative support to our clinical team, ensuring the smooth operation of our clinic, and contributing to the overall success of our business.

Key Responsibilities
  • Diary Management: Proactively manage the diaries of our therapists, ensuring that appointments are well-planned and time is managed effectively.
  • Meeting Coordination: Facilitate and coordinate meetings, including preparation and distribution of agendas and associated papers, post-meeting actions, and preparation of notes/minutes.
  • Client Liaison: Meet and greet clients in a trauma-informed, professional, and welcoming manner, providing an atmosphere of genuineness and warmth.
  • Therapy Information: Provide information about our therapies to prospective clients, assisting them in deciding whether to attend our clinic.
  • Financial Management: Handle all invoicing and payment of therapeutic sessions, ensuring accurate and timely processing.
  • External Liaison: Liaise with external agencies as required, maintaining effective communication and relationships.
  • Office Systems: Design, implement, and continually develop office systems to ensure procedures are efficient and effective.
  • Correspondence: Manage all correspondence, including email, mail, phone calls, and social media, with both internal and external stakeholders.
  • Event Management: Assist with event management, including associated paperwork and deadlines.
  • Reporting: Review and draft reports, letters, and emails as required, ensuring accuracy and attention to detail.
  • Problem-Solving: Use initiative and judgment to solve problems and queries, escalating as appropriate to the CEO.
Requirements
  • Education: Scottish Credit and Qualification Framework level 7 (Advanced Higher/SVQ Level 3, HNC) or an undergraduate degree in a relevant subject (such as psychology) with experience in Clinic Manager duties.
  • Skills: Excellent communication and customer service skills, ability to engage with others, plan, organize, and prioritize effectively, and work independently and flexibly as part of a high-performing team.
  • Knowledge: Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, and OneDrive, and a high level of accuracy and attention to detail.
