Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Dover Corporation. As a key member of our Reception team, you will be the first point of contact for our internal and external customers, providing a warm and welcoming experience.
Key Responsibilities:
- Manage a high volume of enquiries, both telephone and face-to-face, and respond to customer inquiries in a professional and courteous manner.
- Assist with travel arrangements for visitors, including hotel bookings, airport shuttles, and taxis.
- Issue building access cards and maintain accurate records.
- Coordinate and arrange meetings and events, including catering, setup, and clean-up.
- Maintain and update spreadsheets and databases, ensuring accurate and up-to-date information.
- Manage stationery supplies, PPE, and new starter setup.
- Update and maintain company time and attendance information and provide accurate payroll and accounts reporting.
- Provide ad-hoc secretarial support to management and be able to provide full-time reception cover if required.
Requirements:
- Excellent customer service and administrative skills, with previous reception or front desk experience.
- Highly organized and detail-oriented, with excellent numeracy and English language skills.
- Flexible and capable attitude to work, with the ability to manage a variable workload with conflicting priorities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and the ability to learn new software.
- Highly reliable and polite person with a pleasant and confident telephone manner.
- Excellent communication skills and a collaborative approach across all levels and functions.
- A high level of discretion and confidentiality, with good analytical and problem-solving skills.
