Patient Administrator

Fusion People Ltd is seeking a highly organized and detail-oriented Patient Administrator to join their team. As a key member of the administrative staff, you will be responsible for ensuring the smooth operation of clinics and patient appointments.
Key Responsibilities:- Manage Patient Data: Accurately maintain patient records, including liaising with GP surgeries, clinics, and patients to ensure the electronic patient record is up-to-date.
- Coordinate Clinic Schedules: Manage daily changes to clinic schedules, ensuring that clinics and theatres are fully utilized.
- Book Patient Appointments: Book patient appointments, ensuring that all clinics and theatres are fully utilized.
- Manage Clinic Utilization Reports: Ensure that clinical utilization reports are accurate, liaising with the relevant team as needed.
- Coordinate Daily Operations: Coordinate daily operations, including managing the setup of clinic diaries, booking patient appointments, and ensuring that all patient reminder calls and text reminders are conducted in line with team processes.
- Provide Excellent Customer Service: Act as the central point of contact for all telephone enquiries from patients and clinic staff, resolving or escalating issues as appropriate.
- Support Clinical Team: Support the clinical team by dealing with enquiries from GP's and other clinicians who require examination/clinic letter reports.
- Manage Clinic Cancellations: Action all clinic cancellations accordingly, as instructed.
- Reinstate Clinics: Take responsibility for reinstating clinics as necessary and re-booking all patients in a timely manner.
- Coordinate Monthly Schedules: Coordinate the daily, weekly, and monthly clinic schedules, ensuring that clinic workload and patient flow are balanced to ensure maximum efficiency.
- Monitor and Analyze Clinic Activity: Monitor and analyze clinic activity, ensuring that capacity and demand are balanced to achieve target utilization.
- Escalate Issues: Promptly escalate any unresolved or complex patient or client-related issues to the Deputy Patient Admin Lead.
- Excellent Communication Skills: Excellent communication and interpersonal skills, with the ability to work effectively with patients, clinic staff, and other stakeholders.
- Organizational Skills: Highly organized and detail-oriented, with the ability to manage multiple tasks and priorities.
- Technical Skills: Proficient in using medical appointment systems and other relevant software.
- Knowledge of Healthcare Operations: Knowledge of healthcare operations and clinical governance protocols.
