About the Role

We are seeking a highly organized and detail-oriented Travel Coordinator to join our team at ICR Integrity Ltd in Aberdeen. As a key member of our operations team, you will be responsible for coordinating the company's travel and visa requirements in accordance with our procedures and processes.

Key Responsibilities
  • Manage and plan all travel requests in a timely and efficient manner, ensuring compliance with ICR procedures.
  • Coordinate mobilisation requests internally and liaise with business unit teams to gather necessary information.
  • Arrange and ensure all required visas are in place prior to travel, in line with ICR travel procedures.
  • Liaise with travel and visa specialists to meet business travel requirements.
  • Ensure correct inoculations are in place prior to travel, coordinating requirements with the HR team.
  • Arrange the booking/hire of vehicles as needed.
  • Manage the contract and business relationship with the Travel Management Company.
  • Ensure compliance with relevant HSE policies and standards regarding travel.
  • Manage company systems for tracking employees on business travel.
  • Prepare and provide monthly reporting for all travel, including administration of the monthly billing process.
  • Maximise cost savings for travel.
Requirements
  • Previous experience working with travel management companies.
  • Previous experience coordinating visa applications.
  • Strong organisational and planning skills.
  • Problem resolution and process familiarisation.
  • Self-starter with a strong sense of initiative.
  • Excellent interpersonal skills.
  • Strong ability to multi-task.
  • Excellent administration skills.
  • Team player.
  • Significant Microsoft knowledge and experience, as well as managing databases.
  • Ability to work deadlines in an accurate, consistent and structured manner.
  • Ability to demonstrate understanding of HSEQ safe working practices and procedures and their implementation.
  • Ability to follow/comply with procedures and recognised working practices.
