Job Title: After Sales Inhouse Support/ Office Administrator

We are seeking a highly organized and detail-oriented individual to join our Umbrella Functional Consulting & Support Team as an After Sales Inhouse Support/ Office Administrator.

Key Responsibilities:
  • Provide administrative support to the Service & Applications department, including taking customer phone calls, updating and maintaining CRM database, and raising invoices for service and spare parts.
  • Assist with providing high-quality customer service through direct and indirect communication.
  • Act as the first point of contact for incoming customer queries and site visitors, directing requests to appropriate team members.
  • Manage the quote-to-invoice process for parts and service, including working with overseas accounting firms where applicable.
  • Perform inbound and outbound inventory management and cycle counting.
  • Order parts, equipment, and materials for the site, including supplier communication.
  • Prepare and dispatch shipments, including documentation.
  • Ensure correct filing, archiving, and database updating for relevant activities.
  • Follow up with customers for satisfaction surveys and payment clarification.
  • Handle incoming and outgoing mail, including faxes.
  • Support management and branch staff as required to ensure the smooth running of the office on a daily basis.
  • Assist with managing hours worked and holidays for employees.
Requirements:

  • Assertive and confident communication skills.
  • Self-starter with the ability to multitask in a demanding environment.
  • Maintain a 5S work environment and work with the Line Manager to mitigate and eliminate hazards that put at risk fellow employees.
  • Conduct routine 5S audits and action issues identified promptly and reliably.
  • Participate in departmental risk assessments, incident reporting, and incident investigations.
  • Able to meet deadlines and organize work priorities.
  • Highly developed organizational skills.
  • Demonstrate a flexible and "can-do" attitude.
  • Able to work on agreed initiatives with minimal support.
  • Demonstrated PC skills (Excel, Word, PowerPoint, and ERP systems).
  • Team player.
  • Excellent communication and interpersonal skills.
