Job Description

Job Title: Administrative Assistant - Receptionist

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant - Receptionist to join our team at Hays Specialist Recruitment. As a key member of our front-of-house team, you will be responsible for providing exceptional customer service, managing diary and meeting room arrangements, and ensuring the smooth operation of our office.

Key Responsibilities:

  • Provide exceptional customer service to clients, visitors, and colleagues
  • Manage diary and meeting room arrangements, including catering and technical support
  • Ensure the front-of-house areas are maintained to a high standard
  • Monitor staff movements and manage premises access
  • Manage stock levels, order supplies, and track receipts
  • Liaise with clients and suppliers via email and in person
  • Organize transport for employees and couriers
  • Receive, sort, and distribute mail and parcels
  • Support the Operations team with administrative duties, Health and Safety, and project management
  • Update and improve operational systems to ensure smooth office operations

Requirements:

  • Outstanding communication skills, both written and verbal
  • Familiarity with the use of office equipment
  • Experience in a corporate office, in an administrative, reception, or similar capacity
  • Experience as a receptionist at a high-end hotel or restaurant is a plus
  • Hospitality exposure is a benefit
  • The ability to work to a high standard, at all times, as well as under pressure
