Company Overview

We are currently working with a specialist engineering business based in Maidstone. Due to ongoing growth, they are seeking an administrative coordinator to join their established team on a full-time, permanent basis.

Job Description

The administrative coordinator will be responsible for assisting with day-to-day operations, scheduling of works and service-related activities for the engineering team. This role involves:

  • Providing exceptional customer service at all times and responding to incoming calls and emails professionally.
  • Raising work orders for all customer callouts, PPMs, and associated tasks.
  • Scheduling engineering calls, PPMs, and quoted works, assigning engineering resources to tasks to ensure SLA achievement and booking works with the site.
  • Applying for all necessary permits and hiring equipment to ensure task completion.
  • Collaborating with the Contract Administration team to monitor the engineer's work schedule daily, ensuring workloads and routes are planned for maximum efficiency, cost-effectiveness, and customer KPI requirements.
  • Monitoring and updating all relevant customer portals as needed with updates on the status of open jobs.

  • Previous experience working within a busy office environment.
  • Good IT skills, including proficiency in Word and Excel.
  • Excellent communication and interpersonal skills.
  • Excellent telephone manner.
  • Numerate skills.
  • Good UK geographical knowledge.
  • Ability to work independently as well as part of a team.
  • Reliability and high self-motivation.
  • Able to build and develop relationships with colleagues and customers.
