Job Title: Clinical Operations Coordinator

About the Role:

We are seeking an experienced Clinical Operations Coordinator to join our team at York and Scarborough Teaching Hospitals NHS Foundation Trust. The successful candidate will be responsible for supporting the Service Managers and Directorates with Surgery Care Group AHP Outpatient capacity issues, ensuring the effective management of outpatient lists and targets.

Key Responsibilities:

  • Support the Service Managers and Directorates with Surgery Care Group AHP Outpatient capacity issues
  • Support the full utilisation of Surgery Care Group AHP clinics by working with Directorates to understand capacity and demand issues
  • Support with the forecasting of Surgery Care Group AHP Clinics to avoid future capacity issues
  • Identifying and rejecting referrals not received via the eReferral service as per the Trust Paper Referral Rejection process. Liaising with the Referral Support Service (RSS) and GP Practices.
  • Manage Appointment Slot Issues Report and liaise with Service Management to identify capacity shortfalls against demand and take remedial action.
  • Attend monthly meetings, in the absence of the Service Managers, with Specialties for active engagement to support the Outpatient Clinic utilisation
  • Help to develop new processes and procedures to support the Clinics and improve the clinic demand and capacity issues
  • To create and amend standard letter templates for all Trust Surgery Care Group AHP Outpatient letters ensuring standard operating procedures are adhered to.
  • Daily monitoring of Surgery Care Group AHP Outpatient Appointment Services Administration work streams. Providing remedial action and escalation where required.

Person Specification:

Essential Criteria:

  • Maths and English GCSE at Grade C above, or equivalent
  • Good written and spoken English
  • NVQ Level 4 or equivalent experience

Desirable Criteria:

  • At least 2 years of working in operational services in the NHS including managing capacity and demand; demonstrable experience of outpatient management; managing activity
  • Involvement in service redesign projects with clear benefits to patients and organisations

Experience & Knowledge Required:

  • Experience of managing outpatient lists and targets
  • Ability to negotiate and influence widely
  • Ability to define business needs
  • Experience of using patient administration systems
  • Understanding a range of work procedures and processes
  • Experience of working with Microsoft packages
  • Experience of working to a high standard in a customer service environment
  • Experience of processing Outpatient appointments and understanding of Referral to Treatment Policy
  • Experience of using a patient database and recording accurate data
