About the Role

We are seeking a temporary full-time Business Support Specialist to cover maternity leave within the Marine & Offshore Support Team in the Fleet Services Department (FSD).

The successful candidate will provide high-level specialist support to the team, with the autonomy to manage workloads effectively in alignment with business needs. The role requires undertaking a wide range of complex administrative and technical tasks, including resolving advanced queries.

Key Responsibilities

  • Provide first-line administrative and technical support for internal systems, resolving issues for both internal and external clients promptly.
  • Oversee account management processes for both internal and external clients for multiple systems, ensuring accurate data management and timely resolution of account-related queries.
  • Maintain shared team mailboxes, ensuring that all incoming queries are responded to in a professional and timely manner and that unresolved issues are escalated appropriately.
  • Use internal ticketing systems to log, manage, and resolve tickets related to system issues, escalating complex matters when required.
  • Create weekly and monthly reports and provide ad hoc reports upon request.
  • Build and maintain relationships with clients and stakeholders, addressing complex queries and resolving service-related problems effectively.
  • Review existing workflows and processes to identify opportunities for improvement and take the initiative to implement new processes to meet business objectives.

Requirements

  • Educated to A level standard or equivalent.
  • PC literate, specifically, proficient in MS Office.
  • Proven experience in providing administrative and technical support in a business environment.
  • Strong organisational skills, with the ability to manage multiple mailboxes and prioritise tasks.
  • Strong problem-solving abilities and an analytical approach to resolving issues.
  • Ability to work independently and as part of a team in a fast-paced environment.
