The Role

We are seeking a proactive, detail-oriented, and flexible Operations Coordinator & Personal Assistant to join our team. This role is a unique blend of operational coordination and executive support, requiring a high level of organization, resourcefulness, and ability to anticipate needs before they arise.

Key Responsibilities:
  • Operations & Immigration Support:
    • Immigration Research & Development: Explore innovative ways to address immigration challenges when mobilizing our international workforce on client projects.
    • Document Collection & Preparation: Gather certifications, educational documents, contracts of employment, onboarding forms, and visa application packs to streamline immigration processing
    • Travel Coordination: Arrange and manage complex travel bookings, schedules, and accommodations for our international workforce.
  • Executive Support:
    • Calendar & Inbox Management: Handle the CEO's calendar, schedule appointments, and manage email correspondence, ensuring priorities are addressed efficiently.
    • Administrative Support: Assist with administrative tasks and projects, helping the CEO stay organized and focused.
    • Strategic Input: Raise and track key business points that need addressing, providing insights and solutions for effective decision-making.
  • General Operational Support:
    • Provide flexible support to the Operations Manager and CEO by stepping in wherever needed to ensure smooth day-to-day operations.
    • Coordinate internal communications and assist with special projects as they arise.

  • Proven experience in operations coordination, logistics coordination, executive support, or a similar role.
  • Exceptional organizational skills with the ability to manage multiple deadlines and priorities
  • A dynamic, adaptable attitude, ready to pivot as business needs change.
  • Excellent communication skills and strong attention to detail.
  • Ability to work independently and maintain discretion with sensitive information.
  • Tec savvy, with experience in Microsoft products
  • Familiarity with immigration processes or international workforce management is a bonus but not required.
