Wedding and Events Coordinator

We are seeking a highly skilled and experienced Wedding and Events Coordinator to join our team at Titanic Hotel Belfast. As a key member of our sales and events team, you will be responsible for coordinating all aspects of meetings and events, ensuring that every detail is taken care of to deliver exceptional customer experiences.
Key Responsibilities- Assist in the development of wedding and events sales goals and strategies to drive revenue growth.
- Manage the meeting and events diary/software system to ensure seamless coordination and communication with clients and internal stakeholders.
- Ensure that all events are executed within budget and to the highest standards of quality and service.
- Maintain effective correspondence with clients, vendors, and internal teams to ensure smooth event execution.
- Meet budgeted sales and profit margins for business by soliciting, selling, and confirming events as required.
- Prepare proposals that maximize profit while satisfying client needs and expectations.
- Utilize the 'Winning Edge' sales techniques to drive sales and revenue growth.
- Solicit files on a timely basis to confirm events and ensure accurate billing and payment.
- Conduct on-site client inspections to ensure that events are executed to the highest standards.
- Contacts clients to foster additional business, repeat bookings, or referrals to other Harcourt Hotels.
- Coordinates activities related to booked events with other departments to ensure seamless execution.
- Communicates with all departments in an effective and timely manner to ensure that events are executed to the highest standards.
- Conducts competitor analysis on a regular basis to stay ahead of the competition.
- Communicates requests for special accommodations and suites to ensure that client needs are met.
- Pre-blocks all special requests or VIP accommodations accurately to ensure seamless execution.
- Keeps Line Manager and Revenue Manager informed of accommodation booking status to ensure accurate forecasting and budgeting.
- Communicates with Front Office Manager all group VIP's for appropriate treatment and recognition.
- Ensures that all reservations are tracked correctly for statistical purposes to inform future sales and marketing strategies.
- Follows up on commission and other fees paid to travel agencies etc. to ensure accurate accounting and payment.
- Liaises with the Accounts Department regarding all matters of credit to ensure accurate and timely payment.
The successful applicant must have previous experience in a similar position preferably in hotel/hospitality related role. They must be highly organized, proactive, and results-driven with excellent communication and interpersonal skills. They must also be able to work effectively in a fast-paced environment and be able to prioritize multiple tasks and deadlines.
