About the Role:

We are seeking an experienced Administrator to join our team in the London office. As a key member of our administrative team, you will provide high-quality support to our managers and contribute to the smooth operation of our office.

Key Responsibilities:

  • Prepare quotes, tenders, and project reports for management
  • Coordinate office activities and operations to ensure efficiency and compliance with company procedures
  • Deal with telephone and email enquiries from clients and suppliers
  • Manage filing systems and maintain accurate records
  • Schedule and attend meetings, create agendas, and take minutes
  • Organise travel and accommodation for staff
  • Update and manage calendars, keep diaries, and arrange appointments
  • Use a variety of software packages, including Microsoft Word, Outlook, Excel, and Sage, to produce correspondence and documents
  • Develop and maintain office systems and databases
  • Liaise with staff in other departments and external contacts
  • Order and maintain stationery and equipment
  • Organise and send outgoing post
  • Store and maintain paperwork, documents, and computer-based information
  • Perform general day-to-day office duties

Requirements:

  • Experience in a construction or engineering administration role
  • Proficiency in Sage or Eque2 software
  • Strong organisational skills
  • Good understanding of invoicing and purchase order processes
  • Excellent oral and written communication skills
  • Tact, discretion, and respect for confidentiality
  • Pleasant and confident telephone manner
