Administrative Support Specialist

About the Role:
We are seeking an experienced Administrator to join our team in the London office. As a key member of our administrative team, you will provide high-quality support to our managers and contribute to the smooth operation of our office.
Key Responsibilities:
- Prepare quotes, tenders, and project reports for management
- Coordinate office activities and operations to ensure efficiency and compliance with company procedures
- Deal with telephone and email enquiries from clients and suppliers
- Manage filing systems and maintain accurate records
- Schedule and attend meetings, create agendas, and take minutes
- Organise travel and accommodation for staff
- Update and manage calendars, keep diaries, and arrange appointments
- Use a variety of software packages, including Microsoft Word, Outlook, Excel, and Sage, to produce correspondence and documents
- Develop and maintain office systems and databases
- Liaise with staff in other departments and external contacts
- Order and maintain stationery and equipment
- Organise and send outgoing post
- Store and maintain paperwork, documents, and computer-based information
- Perform general day-to-day office duties
Requirements:
- Experience in a construction or engineering administration role
- Proficiency in Sage or Eque2 software
- Strong organisational skills
- Good understanding of invoicing and purchase order processes
- Excellent oral and written communication skills
- Tact, discretion, and respect for confidentiality
- Pleasant and confident telephone manner
