Courtside Surgery is a busy healthcare organization providing medical services to a large patient population. We are seeking a highly skilled and detail-oriented individual to join our administrative team as an Administrative Assistant.
Job Summary:
The successful candidate will be responsible for providing administrative support to our clinical staff, ensuring the smooth operation of our medical practice. This will include:
- Referrals: Processing patient referrals, letters, and reports in a timely and accurate manner.
- Correspondence: Managing incoming clinical correspondence, filing documents, and assisting with the scanning and work flowing of clinical documents.
- Prescriptions: Processing and issuing repeat prescriptions using our computerized clinical system.
- Other: Responding to patient queries, providing cover for colleagues during periods of sickness or annual leave, and developing skills and competencies in new software and processes.
Key Responsibilities:
The Administrative Assistant will be responsible for:
- Providing administrative support to our clinical staff, including registering new patients, assisting with general patient queries, and managing medical records.
- Processing referrals to secondary care and ensuring that all necessary documentation is completed accurately and efficiently.
- Managing incoming clinical correspondence, including filing documents and assisting with the scanning and work flowing of clinical documents.
- Processing and issuing repeat prescriptions using our computerized clinical system.
- Providing cover for colleagues during periods of sickness or annual leave.
Requirements:
To be successful in this role, the Administrative Assistant will need to have:
- Experience of working in an administrative role, preferably in a healthcare setting.
- Good general education, including GCSE passes in Maths and English or equivalent.
- Proficient in IT and willing to learn new systems.
- Ability to prioritize workload and work proactively, multi-task, and use initiative.
- Excellent communication skills, both written and verbal.
- Accuracy and attention to detail.
- Flexible approach to undertaking a wide variety of tasks.
- Willingness to learn new skills and processes.
- Team player and confident in working independently.
Confidentiality:
The Administrative Assistant will be required to maintain confidentiality and handle sensitive information with discretion.

The Administrative Assistant will be responsible for promoting and maintaining their own and others' health, safety, and security, as defined in our practice Health and Safety Policy.
