Job Summary:

We're looking for a seasoned Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will have a proven track record of working with senior executives, preferably in the construction industry or a related sector. This role is pivotal in ensuring the CEO's day-to-day operations run smoothly, enabling him to focus on strategic initiatives.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the CEO, including managing his calendar, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Act as the first point of contact for the CEO, handling all correspondence, filtering emails, and managing phone calls with professionalism and discretion.
  • Meeting Coordination: Organise and prepare materials for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Project Management: Assist in managing various projects by tracking progress, coordinating with relevant stakeholders, and ensuring deadlines are met.
  • Documentation: Prepare and edit reports, presentations, and other documents as required. Ensure all files and records are maintained accurately and securely.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
  • Relationship Management: Liaise with internal departments, clients, and external partners on behalf of the CEO, fostering strong working relationships.

Requirements:

  • Experience: Minimum of 5 years of experience as an Executive Assistant, preferably supporting executives in the construction industry or a related field.
  • Organisational Skills: Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
  • Communication: Strong written and verbal communication skills, with the ability to interact with people at all levels.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Technology Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Adaptability: Ability to work independently and adapt to a fast-paced, changing environment.
  • Professionalism: A calm and professional demeanour, with the ability to handle high-pressure situations with ease.
