Job Description

Job Title: Learning Support Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Learning Support Administrator to join our team at HOPWOOD HALL COLLEGE. The successful candidate will provide administrative support to the Learning Support Department, working closely with the Head of Learning Support and Managers.

Key Responsibilities:

  • Provide administrative support to the Head of Learning Support for High Needs Funding Claims, ensuring accurate audit trails and timely submissions.
  • Support the Education, Health and Care Planning and Review process, ensuring compliance with legislated timescales and accurate documentation.
  • Provide administrative support for Exams Access Arrangements assessments.
  • Undertake word processing, establish and maintain spreadsheets, and use other computerized applications as required.
  • Communicate effectively with cross-college functions, outside agencies, and learners to ensure accurate record-keeping and monitoring.
  • Liaise with cross-college functions and Learning Support Managers to maintain and update record systems, meeting statistical and reporting requirements.
  • Establish and maintain audit trails for financial transactions and funding systems within Learning Support.
  • Maintain systems for correspondence on behalf of the Learning Support Managers.
  • Participate in required training and professional development to enhance skills and knowledge.
  • Work closely with other college areas to ensure effective communication and good working relationships.
  • Assist in the development and maintenance of electronic filing systems.
  • Contribute to the development of a responsive and proactive team to prioritize and meet Learning Support deadlines.
  • Attend operational meetings as required.

Requirements:

  • GCSE or equivalent in English and Maths.
  • Experience of providing quality administrative support, tasks, and procedures.
  • Experience of working with internal and external stakeholders, including schools, parents/carers, and support agencies.
  • Experience of providing support to staff and teams, processes, and procedures.
  • Successfully supporting a culture of teamwork within a multi-disciplinary environment.
  • Knowledge of carrying out administration tasks, following and developing processes and procedures.
  • Advanced use of Microsoft Office applications and willingness to undertake training.
  • Ability to use technology and applications to generate information and reports.

Desirable Criteria:

  • Experience of working in an education setting.
  • Experience of working with young people and individuals with SEND/Learning Difficulties and/or Disabilities.
  • Experience of organizing SEND/EHCP related meetings and person-centered reviews.
  • Knowledge of Education Health and Care Plans (EHCPs) and organizing EHC Review meetings.
  • Knowledge of High Needs funding applications.
  • Experience of EBS student records system, electronic ILPs, ProMonitor.

Working Arrangements:

This is a full-time position, working [insert hours] per week. The successful candidate will be required to work flexibly to meet the needs of the department.
