Key Responsibilities

Reception

  • Manage and maintain the reception area to ensure a welcoming atmosphere for clients and tenants.
  • Meet, greet, and register all visitors to the building, providing exceptional customer service.
  • Efficiently manage deliveries, including couriers and post, to ensure timely receipt of packages.
  • Conduct regular stock checks and re-order front of house supplies to maintain a well-stocked reception area.
  • Perform general administration tasks as required to support the smooth operation of the reception area.


Building Management

  • Establish a strong presence as the face of the building and the go-to person for questions and queries.
  • Work closely with the off-site Building Manager to report building issues and assist in resolving them.
  • Manage contractors visiting the building to undertake regular maintenance, issuing keys as required and updating the maintenance log.
  • Collaborate with security and contractors to maintain high standards of front of house and procedures.
  • Assist with the door access system and BMS, with training provided as needed.
  • Produce a weekly report for key stakeholders to keep them informed of building activities.


Tenant Experience and Community Engagement

  • Organize seasonal events for tenants to foster a sense of community and enhance their workplace experience.
  • Produce a monthly e-newsletter to update tenants on initiatives and encourage participation, ensuring content is always on brand.


Skills, Knowledge and Expertise

  • Proven experience in a front of house reception role and a willingness to take on new challenges.
  • Familiarity with facilities management is desirable, but not essential.
  • Excellent communication and interpersonal skills, with a confident and personable manner.
  • Self-motivated and able to multitask in a fast-paced environment.
  • Strong problem-solving skills, with excellent communication and active listening skills.
  • Proficient in Microsoft Office and other relevant software, with a willingness to learn in-house systems and processes.
