Contract: Full time, permanent
Hours: 37.5 hours per week
Shifts: Monday through Friday 08:30 to 17:00
Break details: 1-hour lunch, unpaid
Work model: In person
Interview process:
Primary: 1-hour video interview with the First Impression Team Leader
Secondary: 30-minute video interview in with the Account Manager

Purpose of the role
A successful Receptionist should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They should be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This is a hands-on role and will involve working alongside the Office Manager to deliver an overall exceptional service to our clients.
Key responsibilities
- Greet clients and visitors to the office with warmth and professionalism. Notify employees of visitor’s arrival when necessary
- Provide high level services to staff, clients and guests
- Organising catering (hospitality)
- Supervising and assisting at events
- Communicate with manager and client on job or deadline issues
- Setting up meeting rooms
- Setting up basic IT requests for client meetings
- Diary management and planning, including meeting room bookings
- Responsible for personal health and safety, immediately raising any concerns to the manager
- Maintaining the highest standards of cleanliness and tidiness in the hospitality environment
- Coordination of mail and couriers
- Ordering stationary and catering supplies
- Prepare documents - amending, scanning, printing and binding
- To participate in any on site health and safety audits or assessments
- Assisting with other legal admin tasks when required
- Support the Office Manager with any other ad-hoc requests
- Attention to detail with an emphasis on accuracy and quality
- Intermediate computer skills including Microsoft Word and Excel
- Ability to prioritize work to balance multiple projects and deadlines
- Excellent verbal and written communication skills
- Self-motivated and the ability to multi-task
