The successful candidate will be responsible for providing administrative support to the clinical team, answering telephone calls, and liaising with patients and other clinicians. The role requires a flexible approach, with the ability to work full-time or part-time, depending on the individual candidate's needs.

Main Responsibilities

The following are the core responsibilities of the Secretary and Administrator:

  • Provide administrative support to the clinical team, including secretarial duties and maintaining the smooth running of the General Practice.
  • Answer telephone calls and liaise with patients and other clinicians, as required.
  • Book, change, and cancel appointments for patients in line with current arrangements.
  • Deal with post, tasks, scanning of letters, and other duties as requested by the Practice Operations Manager, Business Manager, or Partners.
  • Look after minutes and agendas from clinical and non-clinical meetings.
  • Prepare reports for third-party organizations.
  • Take part in team meetings and contribute to improving the service.
  • Help with the management of QoF (quality and outcomes framework).

Person Specification

The ideal candidate will have:

  • GCSE level or equivalent education.
  • Experience of working with the general public.
  • Experience of working in a healthcare setting.
  • Excellent communication skills (written and oral).
  • Strong IT skills.
  • A clear, polite telephone manner.
  • Competence in the use of Microsoft Office and Outlook.
  • Effective time management (planning and organizing).
  • Ability to work as a team member and autonomously.
  • Excellent interpersonal skills.
  • Problem-solving and analytical skills.
  • Ability to follow policy and procedure.
  • Polite and confident.
  • Flexible and cooperative.

Desirable Qualifications and Experience

  • IT or admin qualification at NVQ level III or above.
  • RSA level II or equivalent.
  • Experience of working with vulnerable people.
  • General understanding of health and community services.
