Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Junior Doctor Coordinator. This role is responsible for maintaining accurate records, ensuring compliance with information governance requirements, and providing administrative support to junior doctors.

Key Responsibilities
  1. Maintain up-to-date contact lists for junior doctors, including preferred email addresses and contact numbers.
  2. Act as the focal point for junior doctors to request, authorize, and record annual, study, and sick leave in accordance with Trust policies and procedures.
  3. Ensure all doctors are able to take their entitled annual and study leave without compromising safe staffing levels.
  4. Provide assistance and support to junior doctors who wish to swap shifts to take leave, ensuring compliance before the swap is agreed.
  5. Build and populate rotas that ensure minimum staffing at all times and an appropriate skill mix.
  6. Liaise with consultants and specialty management to ensure changes to bed numbers, demand, patient acuity, and complexity are reflected in agreed minimum staffing levels.
  7. Ensure rotas are cost-efficient and compliant with all current requirements, including the New Deal, EWTD, and Junior Doctors contract.
  8. Build rotas for part-time doctors that balance their educational and personal needs with the needs of the service.
  9. Ensure rotas are published to doctors and intranet pages to meet deadlines as per the Junior Doctor Contract.
  10. Work closely with colleagues in Medical Workforce and Recruitment to create and populate work schedules for trainees.
  11. Ensure live rotas accurately reflect current available staff, with any changes promptly communicated to key staff.
  12. Liaise with colleagues to discuss urgent shortfalls in staffing.
  13. Identify upcoming gaps in plenty of time to allow cover to be found, ensuring all key stakeholders are aware of vacant shifts and plans to fill them.
  14. Assist and support new starters as required, including arranging shadowing for doctors with no previous UK experience.
  15. Assist in the planning, organization, and delivery of specialty induction as required.
  16. Develop and maintain a good working knowledge and understanding of the 2016 Junior Doctors Terms and Conditions.
  17. Provide basic advice on Trust HR policies and procedures, including supplying appropriate paperwork to doctors as required.
