About the Role:

We are seeking a highly organized and detail-oriented Financial Operations Assistant to join our team at Optima Recruitment. As a key member of our finance team, you will be responsible for providing administrative support to our financial operations, ensuring the smooth day-to-day functioning of our financial processes.

Key Responsibilities:

  • Expense Processing and Payments: Process and reconcile employee expenses, ensuring accurate and timely payment.
  • Credit Card Processing and Reconciliation: Manage credit card transactions, reconcile statements, and ensure compliance with company policies.
  • Purchase Ledger Function: Assist with purchase ledger duties, including processing invoices, managing supplier relationships, and maintaining accurate records.
  • Banking and Cashiering: Manage cash handling, banking, and cashiering duties, ensuring accurate and secure financial transactions.
  • Fundraising Finance Support: Assist the Fundraising Finance Lead with daily banking, processing, and reconciliations.
  • Sales Ledger and Fundraising Invoices: Raise sales ledger and fundraising invoices, ensuring accurate and timely payment.
  • Accounts Inbox and Supplier Queries: Monitor the accounts inbox, respond to supplier queries, and provide excellent customer service.
  • Cash Book Postings and Reconciliations: Post cash book entries, reconcile statements, and ensure accurate financial records.
  • Month-End Journals and Reconciliations: Assist with month-end journals, reconciliations, and financial reporting.
  • Paper Filing and General Bookkeeping: Manage paper filing, perform general bookkeeping duties, and maintain accurate financial records.
  • Year-End Accounts and Auditor Queries: Assist with year-end accounts preparation, respond to auditor queries, and ensure compliance with regulatory requirements.
  • Additional Duties: Assist in other areas of the finance team, especially during busy periods, and contribute to the overall success of our financial operations.

Requirements:

  • AAT Part-Qualified: Hold AAT part-qualified status or equivalent.
  • Experience in a Similar Role: Possess experience in a similar role, ideally in accounts or finance.
  • Microsoft Office Skills: Proficient in Microsoft Office, including Excel, Word, and Outlook.
  • Organizational and Time Management Skills: Demonstrate excellent organizational and time management skills, prioritizing tasks and meeting deadlines in a fast-paced environment.
  • Attention to Detail: Possess an excellent attention to detail, ensuring accuracy and precision in financial transactions and records.
  • Intermediate Excel Skills: Hold intermediate Excel skills, including data analysis and reporting.
  • Writing and Reporting Skills: Possess competent writing and reporting skills, ensuring clear and concise communication.
  • Accounting Software Packages: Familiarity with accounting software packages, including data entry and reconciliation.
  • Continuous Learning: Actively seek ways to enhance knowledge and improve performance, staying up-to-date with industry developments and best practices.
