About the Role

We are seeking a highly organized and proactive Service Administrator to join our Service department at Hunt Forest Group Ltd. As a key member of our team, you will be responsible for administering service processes to maximize administrative efficiency in the department.

**Key Responsibilities:**

  • Verify work orders before submission to the Service Manager and customers.
  • Maintain accurate and up-to-date service department records and information.
  • Open and manage work orders, ensuring timely completion and invoicing.
  • Coordinate training attendance and follow-up as directed.
  • Process warranty and product improvement claims, including computation of charges and submission.
  • Communicate with customers to collect required data and check machine status.
  • Plan and allocate work for technicians based on their expertise and skills.
  • Proactively generate business by promoting service campaigns to relevant customers.
  • Process customer payments for cash sale work upon completion.
  • Work towards performance KPIs and targets to support departmental efficiency.
  • Proactively contact customers based on machine alerts.
  • Run administrative steps of the service process, including invoicing, customer approval, and signature.
  • Notify customers of service updates or machine readiness for pick-up.
  • Process warranty and product improvement claims, including computation of charges and submission.
  • Provide explanations and answer customer questions on service delivered, consulting with technicians and the workshop manager as needed.
  • Follow up with customers to identify open issues and confirm satisfaction.

**Requirements:**

  • Previous experience in a busy Service Department, preferably in the agricultural, commercial vehicle, or similar industry.
  • Previous administration experience.
  • Competency in using Microsoft Office, including Excel.
  • Strong organizational skills.
  • Ability to work independently and take initiative.
  • Keen to learn and excellent communication skills.
