About the Role

We are seeking an experienced Event Coordinator to join our team at CH&CO. As an Event Coordinator, you will be responsible for handling all event enquiries, responding to guest calls, and managing all enquires in a timely manner.

Key Responsibilities

  • Handle all event enquiries and respond to guest calls in accordance with our telephone handling standards.
  • Manage all enquires in a timely manner within the required response time.
  • Maintain accurate communication at all times.
  • Undertake guest show rounds to sell the venue in a way relevant for the booking.
  • Discuss and confirm all booking details with the guest prior to the event to ensure excellent execution.
  • Demonstrate commercial acumen to minimise costs and maximise revenue.
  • Sell the venue space to ensure a maximum yield of the diary.
  • Follow up on all enquires ensuring the Sales Pipeline is accurately maintained.
  • Work with team members to achieve sales weekly/monthly targets.
  • Upsell to clients as appropriate.
  • Ensure a good knowledge of CH&CO key clients and industry trends is maintained at all times.
  • Be present for key events to liaise between the guest and the hospitality operations team.
  • Discuss all special event requirements with the relevant departments.
  • Communicate all event detail on a weekly basis and update daily to all departments with any changes.
  • Ensure that all company documentation is completed in an accurate and timely manner.
  • Ensure all events are billed promptly, accurately and charged to the correct account codes.
  • Carry out any reasonable management request.
  • Receive and implement any training required.
  • Undertake specific projects when asked by management.
  • Be trained in the event booking system. To be able to efficiently search, book and cancel events.
  • Accurately place clients and event information into relevant booking systems.
  • Relieve and assist in other areas within the unit or other establishments.
