We are seeking a skilled Property Support Manager to join our team at Telent Technology Services Ltd. This role offers the opportunity to work in a dynamic and fast-paced environment, contributing to the success of our business divisions.

About the Role

This position is responsible for line management of the Estates and FM support teams, as well as direct responsibility for CAFM property management systems, Condeco Resource Booking Applications, and Everything Telent Estates and FM documents. The ideal candidate will have strong communication and organisational skills, with proficiency in Microsoft Office and a good understanding of relevant legislation and policy around Compliance, H&S, and the Environment.

Key Responsibilities:

  • Maintain the FMHelpdesk and oversee end-to-end processes, including reactive and planned preventative management tasks.
  • Support the Facilities Lead alongside the Procurement team, ensuring ongoing contract compliance and KPI reporting.
  • Coordinate with the Finance team to produce monthly finance reports, tracking outstanding P/O's.
  • Support the onboarding of suppliers in conjunction with Regional FMs, Procurement, and Finance as required.
  • Collate documents to support BSI, Premises, and statutory audits with Regional FMs.
  • Monitor and log accidents and incidents via TelSafe, as appropriate.
  • Assist with key supplier meetings, working with Regional FMs, and ensure supplier KPIs are completed at the end of each reporting period.
  • Raise purchase orders and maintain CPA processes.
  • Manage regional FM budgets, including special revenue projects, assigned by the FM.
  • Maintain Everything Telent (ET) Estates and FM records, such as Aspects and Impacts, Site Risk Assessments, Emergency Preparedness Plans, etc.

Requirements:

  • A minimum of 2 years' administrative experience.
  • Excellent telephone manner and interpersonal skills with a customer-focused approach.
  • Proficiency in MS Word, Excel, and PowerPoint.
  • Ability to prioritise workload and tasks.
  • A 'can-do' attitude with a proactive approach.
  • Knowledge of relevant legislation and policy around Compliance, H&S, and the Environment.
  • Exceptional communication skills, including building and maintaining relationships with internal customers/stakeholders.
