Job Description

This is a full-time, open-ended position at the University of Glasgow. The salary will be Grade 6, with a starting annual salary of approximately £34,402. The role involves providing administrative support to postgraduate research students and academic staff.

Main Responsibilities:
  1. Monitor DTP budgets to ensure no overspend, review spend against available funding, and provide regular updates as required.
  2. Produce regular budget reports with detailed financial forecast information and spend profile for Principal Investigators, grant holders, and funding bodies.
  3. Lead and manage the student recruitment and selection process, including preparing and advertising studentships, managing applications, and coordinating interviews.
  4. Provide administrative support to PI's and other academics, creating effective processes to enhance service delivery, and contributing to course design.
  5. Organise and clerking DTP committees, drafting agendas, collating papers, taking minutes, and following up on actions.
  6. Plan, coordinate, and deliver lab rotations, mini projects, DTP training programmes, and other events, evaluating feedback to ensure consistency and improvement.
  7. Act as first point of contact for student queries, overseeing financial aid and resolving issues.
  8. Create programme handbooks for individual DTPs and update them annually in consultation with colleagues.
  9. Research, collate, and edit material for reports and documents, maintaining a communication network for students, PIs, and supervisors across partner institutions.
Requirements:
  • A1: Demonstrated competencies in undertaking duties associated with this level of post, acquired through personal development and progression in similar roles.
  • A2: Extensive knowledge of developing and implementing administrative systems.
Skills:
  • C1: Excellent oral and written communication skills.
  • C2: Excellent numeracy and financial management skills.
  • C3: Proficiency in IT and bespoke systems like Mycampus, Moodle, and Microsoft Teams.
  • C4: Strong planning and organisational skills, with the ability to work independently and prioritise tasks.
  • C5: Proactive approach to problem-solving, managing multiple projects, and meeting deadlines.
