Job Description

An exciting opportunity has arisen for a Fleet Administration Coordinator to manage the scheduling, booking, and completion of maintenance and repair work for the Culina Logistics fleet.

Key Responsibilities:


  2. Vehicle Maintenance Scheduling: Ensure fleet maintenance schedules are up to date, including servicing and MOTs.
  3. Scheduling Event Verification: Verify that all scheduled events have been booked and work completed.
  4. Liaison with Suppliers: Liaise with external suppliers and internal customers to coordinate vehicle maintenance and repairs.
  5. Delays Management: Monitor all vehicles in for service to ensure any delays are known and managed.
  6. Compliance Documentation: Ensure compliance paperwork is received and loaded onto the platform.
  7. Fleet Record Management: Maintain accurate and up-to-date records for all company vehicles.
  8. Fleet Database Auditing: Audit fleet records and databases to ensure they are complete, up to date, and accurate.
  9. Compliance and Legal Requirements: Ensure compliance with legal and regulatory requirements.
  10. Performance Reporting: Produce and deliver performance statistics for meetings and calls.
  11. Compliance Performance: Monitor compliance performance reports and act to resolve any missing or incomplete records.
  12. Support with Investigations: Support with missing mileage investigations.
  13. Supplier Performance Data: Attend and present supplier performance data at review meetings.

Qualifications and Skills:


  2. Fleet Administration Experience: Prior fleet administration experience.
  3. Strong Administrative Skills: Strong administrative mind-set and attention to detail.
  4. Fast-Paced Work Environment: Experience of working in a busy, fast-paced environment.
  5. Communication Skills: Ability to interact with internal and external stakeholders via email and phone.
  6. Independence: Ability to work without direct supervision.
  7. Pressure Management: Ability to work efficiently and accurately under pressure.
  8. Task Prioritization: Effectively prioritise workload in order to meet set deadlines.
  9. Computer Literacy: Good standard of computer literacy, particularly MS Office (e.g. PowerPoint, Word, and Excel).
