About the Role:
We are seeking a highly organized and detail-oriented IFA Administrator to join our team at Pavilion Recruitment Solutions. As an IFA Administrator, you will play a crucial role in supporting our financial advisers and promoting a good relationship between the adviser and their clients.
Key Responsibilities:
- Client Support: Deal effectively with queries from clients and other parties accurately and with the appropriate communication.
- Liaison and Communication: Liaise with clients by telephone - take verbal instructions and act on these. Also pass to appropriate individuals and departments promptly if unable to deal with requests.
- Appointment Scheduling: Make appointments for financial advisers.
- Client Record Management: Create and maintain accurate client records in line with company procedures and policies
- Third-Party Liaison: Liaise with product providers and other third parties.
- Coverage and Support: Cover for absent colleagues if appropriate
- Task Execution: Carry out reasonable requests of tasks required by the Management Team in an efficient and courteous manner.
- Knowledge Sharing: Train colleagues and share knowledge
- Procedure Development: Create procedures documents for the tasks undertaken in the role
- Compliance and Reporting: Report any errors and omissions to the Compliance Manager, any breaches to the Data manager, any complaints to the Compliance Manager, and any FC/AML related matters to the Risk Manager.
Requirements:
- Education: Ideally educated to at least A Level or equivalent standard. To include Maths and English GCSE grade B or Grade 5.
- Experience: At least 3-5 years' experience in a financial services role. Previous experience in a related role using IO will be advantageous.
- Skills: Proficiency in Microsoft Office Suite, understanding of the Financial Planning process and products, ability to work within defined business processes, ability to achieve agreed outcomes without supervision, ability to work independently or in a team, prioritise and plan own workload, detailed and accurate, organisational, prioritisation and time management skills, excellent IT skills.

People Centered: A team player with a proactive, motivated and hardworking approach. Professional integrity: The strength of character to explain a professional point while having empathy with a customer.
