Job Summary:
We are seeking a highly organized and proactive Administrative Support Specialist to support the Headmaster of a prestigious educational institution in Scarborough. This is a fantastic opportunity for an experienced professional to play a key role in the smooth running of the Headmaster's office, ensuring efficient and effective administrative support.
Key Responsibilities:
- Manage the Headmaster's Diary: Schedule meetings, appointments, and events, ensuring timely and efficient coordination.
- Handle Correspondence: Respond to emails, letters, and phone calls in a timely and professional manner.
- Prepare and Edit Documents: Create and edit reports, presentations, and other documents as required.
- Organize and Coordinate Meetings: Prepare agendas, take minutes, and follow up on action points to ensure seamless execution.
- Liaise with Stakeholders: Communicate with staff, students, parents, and external stakeholders on behalf of the Headmaster.
- Maintain Confidential Records: Ensure the secure and confidential storage of sensitive information.
- Support School Events: Assist with the planning and execution of school functions and events.
- Perform Administrative Tasks: Carry out other administrative duties as required to support the Headmaster.
Requirements:
- Proven Experience: A minimum of 2 years' experience as an Administrative Support Specialist or Executive Assistant, preferably in an educational setting.
- Excellent Organizational Skills: Strong time-management and organizational skills, with the ability to prioritize tasks and manage multiple projects.
- Strong Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with staff, students, and external stakeholders.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
- Professionalism and Attention to Detail: High level of professionalism and attention to detail, with the ability to work independently and as part of a team.
- Flexibility and Adaptability: Ability to work flexibly and adapt to changing priorities and demands.
