As a Document Controller at OKB KONE plc, you will play a crucial role in ensuring the smooth flow of communication between contractors and clients. Your primary responsibility will be to manage and monitor relevant sites, ensuring that the project team is aware of all incoming communication and submitting the same for outgoing.
Key Responsibilities:- Manage all incoming notifications related to project queries, ensuring timely responses and updates.
- Oversee the management of tender documents associated with projects, processing and archiving them in line with customer-specific requirements.
- Prepare and upload KONE drawings/documents to customer portals, adhering to deadlines and protocols.
- Review document controlling documents from sales tender documentation to ensure compliance and understanding.
- Support Project Managers, Designers, Planners, and other team members with documents to facilitate progress payments and final account collection.
- Upload documents to customer portals, ensuring they follow client protocols.
- Prepare documents as required to support project managers and operations.
- Work as part of the KONE project team, providing progress updates on project status and key actions.
- Create and manage internal folder structures for Design, Commercial, Document Control, and Site.
- Support in managing project deadlines, ensuring document control-related information is submitted correctly to avoid financial abatements.
- Work as part of a larger team, providing administrative and document controlling support as requested by the manager.
- Archive all communications.
- Perform ad-hoc administrative duties and provide team cover.
- Travel to the company's offices in Heathrow or Clapham as required.
- Previous experience as a Document Controller or similar role.
- Ability to work on multiple projects simultaneously.
- Customer-focused, with a strong understanding of customer needs and the importance of providing solutions to meet short- and long-term objectives.
- Ability to work effectively in a complex, diverse, and changing environment, adapting to change while maintaining focus on key business goals and objectives.
- Excellent communication skills in English, both written and spoken.
- Strong customer service skills.
- Pays strong attention to detail and accuracy.
- Experience with Aconex, Asite, EDMS is essential.
- Experience with Maximo, SAP, Salesforce is desirable.
- Excellent problem-solving and analytical skills.
- A proactive and forward-thinking team player.
- Willing to continuously learn.
