Customer Service Administrator/Document Controller

We have an exciting job opportunity for a Customer Service Administrator/Document Controller to join our Barking team with a few days a month working from our Heathrow office and Clapham Office.

The Customer Service Administrator is the voice of KONE, focusing on one or more specific admin domains. You will provide administrative support for Area Service Managers, Support Manager's, Engineer's & Document Controllers, enabling them to maximize the time spent on customer facing activities and being in the field.

Key Responsibilities:
General Administrative Support for ASM's, Support Manager's, Engineer's & Document Controllers.

Infrastructure Tasks
- Closing jobs in Maximo for the Infrastructure Team.
- Logging and Filing Service Sheets (example 124 plus sheets per week).
- Creating and cancelling service orders.
- Logging sickness and holiday on master log.
- Checking off engineer's timesheets received.
- Creation of storage licenses.
- Working on small projects as and when requested by Senior Management.
- Useful system knowledge, Word, Excel, Share point, Power Point, SAP, Maximo.

Document Control Assistance Tasks
- To assist with incoming notifications relating to project queries.
- Prepare and Upload KONE drawings / documents in line with deadlines to customer/portals.
- Support Quantity Surveyor with documents to ensure progress payments / final account are collectable.
- Upload documents to customer portals. Ensuring that the documents follow the client’s protocol.
- Prepare documents (i.e., Rams lifting plan, quality plans etc.) as required to support project manager/operations.
- Work as part or KONE project team - provide progress updates on project status & key actions.
- Create the internal folder structure on teams with the folders for Design, Commercial, Document Control and Site.
- Support in managing deadlines of projects, ensure all doc control related information is submitted correctly to avoid any financial abatements.
- Part of a larger team -support in line with manager requests.
- Useful system knowledge - A Site, Aconex, 4P.

Maintenance Operations Support Tasks - Assisting Heathrow Team
- General admin support, e.g., Manages safety and site access documents of site personnel as requested by site managers and ensures that data is collected and delivered to KONE SSC for input.
- Enters fitter scheduling plans (on duty and backup assignments) in Konect, coordinating changes/updates of maintenance plans in SAP.
- Manages WorkCentre data changes.
- Supports specific field supervisor tasks.
- Supports in repair and maintenance visit planning and communication to customer.
- Takes ownership for customer queries forwarded from first level and follows up with field Supervisor and other services to get a response.
- Creates planned service repairs when needed.
- Supports technician and supervisor in material related requests (PR creation, check availability and follow up on delivery).
- Takes ownership for customer queries forwarded from first level and follows up with salesperson and other services to get a response.

Key Experiences & Skills:

- Good administrative and data input experience.
- Comfortable working in a high volume and fast-paced environment.
- Good communications in both written & spoken English.
- Sound IT skills.
- Detail focused.
- Collaborative team player and able to work independently.
