Job Summary

We are seeking a highly organized and detail-oriented Speciality PA to join our dynamic Oncology team at Nottingham University Hospitals NHS Trusts. As a key member of our administrative team, you will provide exceptional support to our consultants and their teams, ensuring the smooth operation of our busy department.

Main Responsibilities
  • Provide administrative support to consultants and their teams, including managing diaries, coordinating meetings, and preparing correspondence.
  • Accurately transcribe clinical letters using Winscribe, producing high-quality work within defined deadlines.
  • Establish and maintain administrative systems and databases, ensuring accurate and up-to-date information.
  • Deal with incoming mail, results, and reports, and ensure timely and efficient processing.
  • Attend and organize meetings, take minutes, and ensure accurate recording of decisions and actions.
  • Ensure RTT patient data quality is accurate and up-to-date.
  • Deal with consultant queries and visitors, managing consultant diaries and ensuring smooth communication.
  • Make telephone calls to patients and their families, providing confidential and empathetic support.
  • Typing of clinical letters as required.
Person Specification
  • Essential:
    • GCSE standard in English and Maths at grade C or above.
    • NVQ level 3 in administration or equivalent.
  • Desirable:
    • RSA III word-processing/text processing or equivalent.
  • Experience:
    • Minimum of 2 years secretarial experience.
    • Audiotyping experience.
    • Experience in using Microsoft Office.
  • Communication and relationship skills:
    • Maintain confidentiality, sensitivity, and empathy in communication with patients and colleagues.
  • Physical skills:
    • Frequent use of VDU equipment.
  • Planning and Organisation Skills:
    • Manage time effectively and display initiative.
    • Work within prescribed deadlines.
  • Analytical and Judgement Skills:
    • Able to use judgement to make decisions in order to solve problems and enquiries.
  • Other Requirements:
    • Demonstrate an awareness of the importance of prompt timekeeping and good attendance at the workplace.
    • Remain calm and co-operative under pressure or in difficult and uncertain situations.
    • Flexible approach to work.
