Job Summary

We are seeking a highly skilled and experienced Therapy Administrative Coordinator to join our team at Chesterfield Royal Hospital NHS Foundation Trust. As a key member of our administrative team, you will be responsible for providing administrative support to our Therapy Department, ensuring the smooth operation of our services and providing an exceptional patient experience.

Main Responsibilities

Key responsibilities of the role include:

  • Providing administrative support to the Therapy Department, including managing schedules, coordinating meetings, and maintaining accurate records.
  • Supervising and leading the Therapy Administration Team, ensuring that a comprehensive, high-quality, and efficient service is provided at all times.
  • Providing a professional administrative service to the Heads of Service, Therapists, and Dietitians across all 5 services, Nutrition and Dietetics, Occupational Therapy, Physiotherapy, Podiatry, and Speech and Language Therapy.
  • Managing and recording sickness absence and annual leave, and taking appropriate action in accordance with department guidelines and Trust Policy.
  • Ensuring all mandatory and role-specific training for admin staff is up to date and maintaining up-to-date records.
  • Supporting the Care Unit Co-ordinator in the recruitment and selection process for new staff within the admin team.
  • Implementing and reviewing a programme of appraisals with all administrative staff, creating personal development plans.
  • Overseeing the implementation of new systems or procedures, ensuring administrative staff are fully competent in their job role and that regular audit and data quality checks are carried out.

Requirements

To be successful in this role, you will need to have:

  • Previous administrative experience, preferably in a healthcare setting.
  • Experience of supervising staff and managing a team.
  • Excellent IT and keyboard skills, including Microsoft Office.
  • Excellent communication and interpersonal skills, with the ability to work effectively with staff at all levels.
  • Ability to work under pressure and prioritize diverse and heavy workloads.
  • Knowledge of Trust systems, including SystmOne and Medway.
