Job Summary

Welcome to our team at Welbeck Surgery, where we are seeking an experienced and enthusiastic individual to join us as a Receptionist/Administrator. This is a full-time role with a weekly shift pattern, and flexibility in compressing hours over four days is possible.

This is an extremely busy role that requires hard work, multitasking, and a good sense of humour. You will need to be able to handle multiple demands on your time, prioritize tasks, and maintain excellent customer service skills. A smart and professional appearance is also essential. Previous experience is desirable, but full training will be provided.

Main duties will include managing the reception desk, ensuring clinics run smoothly and efficiently. You will also be expected to provide excellent customer service, both over the phone and face-to-face, and prioritize daily work to complete tasks in a timely manner.

This role will involve greeting, assisting, and directing patients in accessing the appropriate service or healthcare professional. You will provide general assistance to the Practice team and project a positive and friendly image to patients and visitors, both in person and over the phone.

Job Responsibilities

Duties will include managing the reception desk, answering the telephone, taking messages, and passing them on appropriately. You will also be responsible for actioning queries for repeat prescriptions, providing a point of contact for patients, and acting as a focal point of communication between patients, doctors, and other members of the Primary Health Care Teams.

You will be required to complete all reception and administration tasks as necessary, including photocopying, scanning, and shredding. Confidentiality will be maintained at all times, and you will have a thorough knowledge of all practice procedures and policies.

Working in accordance with written protocols, you will complete any tasks allocated by managers or GPs. You will also carry out system searches as requested, maintain the waiting area and notice boards, and attend team training events as part of ongoing development and training.

Person Specification

Desirable experience includes using SystmOne, working in a healthcare setting, and administrative duties. Essential qualifications include being educated to GCSE level or equivalent and having GCSE Mathematics and English at C or above.
