We are seeking a highly skilled and experienced Executive Administrative Assistant to provide comprehensive support to our Executive Director. The successful candidate will be responsible for resolving day-to-day problems independently, making informed decisions, and ensuring agreed targets are met in accordance with standards, policies, and procedures.
Main Responsibilities:- Provide administrative support to the Executive Director, including preparing agendas and papers for meetings, coordinating travel arrangements, and maintaining accurate records.
- Develop and maintain effective working relationships with colleagues, stakeholders, and external partners to ensure seamless communication and collaboration.
- Manage and maintain the Executive Director's schedule, including arranging meetings, appointments, and travel.
- Prepare and edit documents, reports, and presentations to ensure accuracy and professionalism.
- Provide exceptional customer service to internal and external stakeholders, responding to queries and resolving issues in a timely and professional manner.
- GCSE English or equivalent.
- Educated to NVQ level 3 in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
- NVQ in business administration or equivalent.
- Secretarial/PA experience.
- Excellent management and organisation skills.
- High standard of presentation of documents and correspondence.
- Minute taking and meeting coordination experience.
- Excellent written and oral communication and interpersonal skills.
- Able to deal effectively with colleagues and outside medical and professional bodies.
- Knowledge and experience of using a wide range of computer packages, including Excel, Word, PowerPoint, and Acrobat.
- Adaptable to change and quick to learn.
- Able to work on own initiative.
- Understanding of need to prioritise and cope with changes in priorities.
- NHS experience.
This is a full-time position, working 37.5 hours per week. The successful candidate will be required to work flexibly, including occasional evenings and weekends, to meet the needs of the role.
