Administrator and Projects Coordinator Role

We are seeking an Administrator and Projects Coordinator to support our small but busy team at the University of the Arts London. The post would suit someone with strong administrative skills, who is solution-focused and interested in establishing new processes, confident in liaising with a variety of people, and able to monitor their own workload.

The successful candidate will be responsible for providing administrative and project coordination support to our team, including marketing and audience development, museum, galleries, and heritage programme administration, and general administration.

Key responsibilities include:

  • Marketing and Audience Development administration:
    • Supporting the Marketing and Audience Manager in the production of the What's On guide
    • Preparing event data and proofing drafts
    • Updating and maintaining the subscribers' database
    • Preparing subscriber lists to receive formatted 'What's On' guides
    • Supporting invoicing processing
    • Occasional attendance at events
  • Museum, Galleries and Heritage Programme administration:
    • Responding to enquiries
    • Producing proposals and contracts
    • Liaising with trainers and client venues
    • Distributing course documentation and resources
    • Collating attendance figures, feedback, and evaluation data
  • General administration:
    • Managing the 'enquiries' in-box
    • Checking the VocalEyes answering service and fielding general phone enquiries
    • Coordinating meetings and room bookings
    • Supporting project administration
    • Liaising with our Trustees and other stakeholders as required
    • Supporting data management and compiling reports
    • Coordinating DBS checks
    • Supporting recruitment processes
    • Occasional access support / acting as a sighted guide (if appropriate)

We're looking for someone with strong administrative and project coordination experience, excellent organisational skills, and a high level of attention to detail. If you're passionate about access and inclusion, and have experience working for an arts, heritage, or access organisation, we'd love to hear from you.

Please note that this is a 3-day working week (21 hours) role, with a salary of £16,380 per annum based on a pro rata of £27,300 full-time equivalent.
