About the Role

We are seeking a highly organized and detail-focused Administrative Support Specialist to join our team in the Legal Division.

As Confidential Document Coordinator, you will be responsible for managing and maintaining confidential documents, ensuring they are accurately processed and stored.

Key responsibilities include:

  1. Collecting and sorting incoming post, scanning and emailing documents to legal staff
  2. Delivering outgoing post to the post room and monitoring requests sent to the legal support mailbox
  3. Preparing documents for manual sealing, entering them in the sealing log and sealing them for signature by heads of service
  4. Assisting in the preparation of leases for legal clients, including creating leases, corresponding with managing agents and clients, and updating files and spreadsheets
  5. Using a legal case management system to find information on fee earners and legal matters, and entering invoice and court fee information onto the system
  6. Adding s106 documents to the Earthlight system and archiving files for fee earners, updating relevant spreadsheets, and retrieving files and boxes containing matter files for fee earners
  7. Arranging team meetings using MS Outlook/MS Teams or other tools

Requirements:

  • Good working knowledge of IT applications, including Windows and Office 365
  • Ability to maintain confidentiality at all times
  • Experience of providing administrative support and utilizing ICT systems
