Job Summary

We are seeking an experienced Administrator to join our Repairs and Maintenance team in Thames Valley. The successful candidate will be responsible for providing administrative support to the operational team, ensuring the delivery of a quality service to clients, including Housing Associations and Local Authorities, and their residents.

Key Responsibilities

  • Answering calls from tenants regarding repair works and resolving queries in a timely and effective manner.
  • Processing orders and invoices using company systems to ensure accurate and efficient service delivery.
  • Updating systems with all interactions with residents, ensuring accurate records and communication.
  • Processing supervisory and trade reports to determine necessary actions to resolve repairs.
  • Resolving minor complaints at call level, providing excellent customer service.
  • Maintaining logs and monitoring variation requests to ensure efficient service delivery.
  • Maintaining and actioning emails from contract mailboxes, ensuring prompt communication.
  • Answering payment queries from both subcontractors and clients, providing accurate and timely information.
  • Working with Supervisors and tradespeople to organize and schedule work, ensuring efficient service delivery.
  • Ordering equipment needed for operatives' jobs, ensuring timely and efficient service delivery.
  • Keeping all activity logged and up-to-date in an accurate manner, ensuring transparency and accountability.
  • Liaising with staff at customer sites, keeping them informed of progress and ensuring excellent customer service.

Key Requirements

  • IT literacy and proficiency in using company systems.
  • Excellent customer service skills, with the ability to resolve queries and complaints effectively.
  • Knowledge of maintenance sector terminology and KPIs.
  • Ability to work under pressure, meet tight deadlines, and prioritize tasks effectively.
  • Excellent communication and problem-solving skills, with the ability to identify and resolve issues efficiently.
