Senior Administrative Coordinator

As a Senior Administrative Coordinator, you will play a critical role in supporting our CEO's busy schedule, ensuring seamless execution of strategic initiatives and day-to-day operations. With a focus on diary management, travel coordination, and meeting preparation, you will be responsible for optimizing the CEO's time and providing exceptional administrative support.
About the Role
This role requires a seasoned professional with experience as a PA, Executive Assistant, or in a similar administrative capacity. As a bilingual speaker fluent in English and a European language, preferably proficient in Hebrew, you will possess good judgment, ability to maintain confidentiality, and strong organizational skills. You will work closely with the Office Manager/Executive Assistant network to ensure consistency and coordination across the organization.
Responsibilities
* Provide advanced calendar management for the CEO, prioritizing complex inquiries and requests while troubleshooting conflicts
* Assess and prioritize travel requests to minimize transit times or other inefficiencies
* Research and identify appropriate referrals of incoming issues and concerns addressed to the office of the CEO, including sensitive or confidential matters
* Ensure the CEO's time is optimized, liaising with colleagues and external partners to maximize capacity and act as Gatekeeper where necessary
* Oversee efficient preparation of meetings and trips attended by the CEO using the 4 Ps (Purpose, Process, Participants, and Probable issues)
Requirements
* Proven experience as a PA, Executive Assistant, or in a similar administrative role - a MUST
* Bilingual speaker, fluent in English and a European language, and preferably proficient in Hebrew
* Strong organizational skills with the ability to multitask and prioritize tasks effectively
* Excellent written and verbal communication skills
* High level of discretion and professionalism
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with HR software a plus
* Ability to work independently in a GLOBAL hybrid work environment
Salary and Benefits
We offer a competitive salary package of $120,000 - $150,000 per annum, flexible hybrid work model with 2-3 days per week in the office, and a range of benefits.
