We are seeking a highly skilled Administrative Assistant to provide exceptional support to our executive leaders. As the right-hand person to high-ranking officials, you will be responsible for maintaining their schedules and ensuring timely completion of various administrative tasks.

Our ideal candidate will possess excellent time management skills, be proficient in MS Office and back-office software, and have a solid understanding of office management and basic accounting procedures.

The successful applicant will be expected to handle confidential documents with discretion, prepare presentations and reports as assigned, and conduct research to meet business needs.

A competitive salary of £45,000 - £55,000 per annum reflects the importance we place on this role in supporting our leadership team.

Responsibilities:

  • Maintain the executive's agenda, planning appointments, board meetings, conferences, etc.
  • Attend meetings and take minutes
  • Screen phone calls and redirect them when necessary
  • Prioritize outgoing or incoming correspondence (letters, packages, etc.)
  • Make travel arrangements for executives
  • Handle sensitive information securely
  • Prepare invoices and financial statements, providing assistance with bookkeeping
  • Negotiate office supply terms with vendors to secure cost-effective orders
  • Maintain organized electronic and paper records
  • Conduct research and create presentations or reports as required

Requirements:

  • Proven experience as an administrative assistant or similar role
  • Proficiency in MS Office and back-office software
  • In-depth knowledge of office management and basic accounting procedures
  • Familiarity with research methods and reporting techniques
  • Exceptional organizational and time management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Degree in business administration or relevant field
