Personal Assistant to Medicine Centre Managers

Job Summary
We are seeking a highly skilled and experienced Personal Assistant to provide comprehensive administrative support to our Centre Managers and Operational Managers in Medicine.
The successful candidate will be responsible for providing a professional, confidential, and accurate administrative service, including diary management, prioritization of tasks, and organization of meetings and events.
The role will involve acting as the first point of contact for internal and external stakeholders, dealing with staff of all levels, and providing excellent communication and organizational skills.
The ideal candidate will have advanced keyboard skills, minute-taking experience, and knowledge of Microsoft Office packages, including PowerPoint, Word, Excel, and Teams.
They will also have a commitment to continuous professional development and be able to work as part of a team, providing cover for other Personal Assistants when required.
Main Duties
- Act as the first point of contact for Centre Managers/Operational Managers, dealing with staff of all levels.
- Diary management, including resolution of conflicting diary appointments.
- Prioritization and delegation of incoming mail and telephone calls.
- Organization of meetings, conferences, presentations, workshops, and training events.
- Minute-taking, action plans, and transcription of formal meetings.
- Creation of databases and/or spreadsheets.
- Preparation, typing, and distribution of correspondence, reports, and ad hoc papers.
- Implementation of office policies and procedures.
- Management of office systems, including a Bring Forward system.
- Responsibility for maintaining storage and retrieval systems.
