Financial Planning Support Specialist

About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Blakemore Recruitment. As an IFA Administrator, you will provide critical support to our Financial Advisers, ensuring seamless client documentation and compliance.
Key Responsibilities
- Process client documentation and requests in a timely and accurate manner, adhering to company compliance guidelines.
- Compile client meeting packs, including valuations, client agreements, and risk questionnaires, for Financial Advisers to use at client meetings.
- Post client documentation to clients or product providers as necessary.
- Issue signed letters of authority and transfer of agency documents to providers, updating client policy records on Intelliflo Office.
- Maintain accurate client personal details and policy information, updating records on Intelliflo Office.
- Prepare new business applications in accordance with company standard operating procedures and compliance handbook.
- Respond to written, telephone, and electronic general enquiries from IFAs, colleagues, clients, and providers.
- Provide timely and accurate information to clients, obtaining new business information and existing policy information as required.
- Maintain relationships and contacts with providers to ensure a professional service.
- Deal with fee and commission queries from the Finance Department.
- Produce accurate, regular, and ad-hoc client valuation schedules, inputting into Intelliflo Office.
- Arrange for amendments to encashment and withdrawal requests from existing client plans, informing clients by email where necessary.
- Update Intelliflo Office client records with amendments.
- Manage time effectively, ensuring all work is processed, and regular reports are reviewed in line with expectations.
- Operate and manage an effective diary within Intelliflo Office to ensure timely completion of activities.
- Inform Advisers and the IFA Admin Manager of client-related events and issues in a timely manner.
- Provide cover and carry out duties for other Administrators in the team, as necessary.
Requirements
- Computer literacy in Microsoft Office and other applications.
- Excellent communication skills, both written and verbal.
- Client-centric approach.
- Organized and highly motivated.
- Good levels of industry knowledge.
- Good attention to detail.
- Accurate data entry and record-keeping skills.
- Willingness to study towards professional qualifications (desirable but not essential).
