**Job Summary:**

We are seeking an experienced HR Shared Services Expert to join our team at G4S Business Unit: US Youth Services in the United Kingdom. This is a fixed-term contract lasting 9 months, reporting directly to the Employee Services Manager.

The successful candidate will be responsible for ensuring compliance with transactional activity within HRSS, maintaining accurate, efficient, and consistent administrative functions. This role will also involve ensuring system data integrity, being flexible and adaptable to all aspects of the employee lifecycle, and interacting with external stakeholders.

This is a fast-paced role that requires working within strict SLAs (Service Level Agreements) agreed timeframes.

Key Responsibilities:
  1. Manage the HR Shared Services mailbox, providing prompt and accurate responses within 3 working days.
  2. Take instructions from HR Coordinators on activities requiring support.
  3. Support central mailboxes, responding to inquiries and issues raised by management and administration employees, and providing suitable solutions within allocated SLA timeframes.
  4. Complete all transactions submitted via the HCM worklist, including changes to working hours, transfers, and salary increases.
  5. Manage the TUPE process, including building employee data, distributing data, and providing licensing data for TUPE out employee liability information.
  6. Build employees, lite users, and contingent workers both from Taleo and directly into HCM.
  7. Create and distribute employee contracts and contractual change letters for new starters and current employees.
  8. Support the wider Employee Services team with day-to-day transactional activity, inbox maintenance, and phone queries, acting as first-line support and point of escalation.
  9. Report on Employee Services metrics, prepare licensing renewal reports, maintain the LDN register, and Taleo interface errors.
  10. Run the SIA watchlist and handle cases of suspended and revoked licenses, including scheduling blocks within HCM.
  11. Work closely with key stakeholders in the Republic of Ireland to manage PSA license renewals.
  12. Arrange payments for the refer-a-friend scheme, ensuring these are costed correctly in HCM, and other ad-hoc payments relating to training and onboarding.
  13. Represent the Employee Services team during audits, management meetings, and training sessions.
Requirements:
  • Strong administration skills, previously gained in a fast-paced environment.
  • Previous experience working in a customer service/service-focused environment.
  • Exceptional attention to detail and accuracy, with a double-check mentality.
  • Excellent written and verbal communication skills, dealing with employees and managers.
  • A good understanding of GDPR in practice.
Desirable Skills:
  • Previous experience in working in a HR Shared Service.
  • Knowledge of the security industry, SIA, and other licensing authorities.
  • Proficient in using Google Suite.
Salary Range:

£25,000 - £30,000 per annum, depending on experience.
