Job Title: Helpdesk Administrator

We are seeking an experienced Helpdesk Administrator to join our team at CBW Staffing Solutions. As a Helpdesk Administrator, you will be responsible for providing exceptional customer service and support to our clients.

Key Responsibilities:
  • Answering Help Desk calls and inputting information into client and system databases
  • Raising reactive call outs, PPM visits, and quoted works
  • Monitoring shared mailboxes and taking action on emails as necessary
  • Closing all jobs accurately across systems, meeting SLAs
  • Assisting staff with queries and providing administrative support
  • Raising reports to drive efficacy and performance
  • Producing documentation for audits and filing/archiving
  • Ensuring client portals are updated promptly with updates
  • Obtaining stationery and managing permits/submissions
  • Managing multiple engineers' schedules - reactive, PPM, and quoted
  • Ordering materials and plant hire, raising purchase orders
  • Liaising with subcontractors/suppliers for schedule dates and organizing with customers
  • General administrative housekeeping, including uploading worksheets/invoices to customer portals and internal systems
  • Invoicing reactive and quoted tasks upon completion
  • Ensuring a full handover when going on annual leave
  • Reviewing hire lists and ensuring off-hired items are taken promptly
  • Posting letters and parcels
  • Managing materials orders from order to delivery
  • Administration of timesheets and ensuring accuracy of work completed
  • Maintaining timesheets across two systems, ensuring MB numbers and hours match
  • Producing accurate and timely invoices, ensuring costs incurred are accurately recovered
  • Participating in team meetings with clients, actioning feedback from these alongside the Manager
  • Ensuring tasks are attended within SLAs, communicating with clients if not
  • Generating monthly reporting for the customer
Requirements:
  • At least 3 years' experience in the maintenance industry
  • Confidence in dealing with customer issues
  • Knowledge of scheduling engineers' daily routes
  • Knowledge of Prism/Service Channel (not essential but useful)
  • Knowledge of scheduling systems
  • Ability to invoice
  • Knowledge of raising purchase orders
  • Good communication skills, dealing with engineers and clients
