Job Title: Office Manager

Ad Warrior is seeking a highly skilled and organized Office Manager to join their team. The ideal candidate will be responsible for maintaining the school's financial systems, processing transactions, and providing administrative support to the Headteacher, teachers, and pupils.

Key Responsibilities:

  • Assist with the reception of visitors and phone calls to staff in the school.
  • Undertake word processing duties, including general support to teachers.
  • Action and respond to all parent communications accurately and in a timely manner.
  • Create and maintain pupil and staff profiles on MIS, completing on roll and off roll processes.
  • Draft and send weekly communications to parents, including letters and updates.
  • Collate information for the school newsletter.
  • Update and manage the school website, ensuring compliance.
  • Monitor and maintain the schools MIS (Pupil Asset), completing census returns.
  • Manage the schools Breakfast and After School Club booking and payment system (WisePay), running weekly reports of attendance.
  • Manage room hire/lettings contracts, including invoicing and updating lettings calendars.
  • Record staff absence and overtime.
  • Check and file Single Central Records.
  • Manage the school diary.
  • Assist the caretaker in facilitating external contracts, mandatory site visits, and general maintenance.
  • Line manage the schools caretaker and MSA team.
  • Attend and minute meetings as required.
  • Assist HR with recruiting and on-boarding new members of staff.
  • Assist the Headteacher with enrolling new pupils, including administration.
  • Maintain an inventory of assets.
  • Provide administrative support as required.
  • Administer first aid and medication, and monitor first aid stock.
  • Assist with school trips and clubs, including liaison with external providers and administration.
  • Action the school's GDPR requirements.
  • Prepare paperwork for behavior incidents.
  • Take weekly hard drive backups.

Requirements:

  • Excellent communication and interpersonal skills.
  • Ability to work as a key member of a collaborative team.
  • Capacity to remain calm under pressure.
  • Commitment to high standards, including personal presentation and punctuality.
  • Able to lead and inspire others.
  • NVQ Level 2 or equivalent qualification, or experience in a relevant discipline.
  • Good numeracy and literacy skills.
  • Experience in general or secretarial administrative work.
  • ICT literate with good keyboard skills.
