Become a key member of our Private Capital team as a Client Support Coordinator at Shakespeare Martineau

About the Role

We're seeking a highly motivated and detail-oriented individual to provide administrative support to our fee earners. As a trusted liaison, you'll be responsible for managing client relationships, communicating with internal teams, and facilitating efficient outcomes.

Your Key Responsibilities

  • Manage client relationships, responding to inquiries, and ensuring timely communication
  • Assist fee earners in organizing meetings, tracking progress, and managing correspondence
  • Conduct land registry, bankruptcy, and lawyer check searches as required
  • Establish relationships with professional bodies, such as banks, debtors, HMRC, and the probate registry
  • Prepare invoices, cheques, and other documents for submission
  • Draft correspondence to investment managers, auditors, clients, and charitable organizations
  • Set up payments to beneficiaries and manage trust accounts
  • Prepare Wills, Codicils, Lasting Powers of Attorney, and other ancillary documents
  • Perform basic account reconciliations within Excel and update Adherent and case management systems
  • Handle incoming/outgoing post, maintain accurate filing systems, and provide administrative support
  • Schedule meetings, appointments, and diary management for senior fee earners
  • Record expected payments, claim unreferenced payments, and engage in foreign payments and cheque requests

Requirements

  • Previous experience in a legal secretarial or office administrative role, preferably within a Private Client team
  • Excellent organizational skills, attention to detail, and ability to multitask
  • Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint
  • Strong interpersonal and communication skills, with the ability to build effective relationships with colleagues and clients
