Studio Production Coordinator

About the Role
As a key member of the NEXT studio team, you will play a vital role in ensuring the smooth operation of our day-to-day activities. Your primary responsibility will be to manage all photo shoot samples throughout their journey in the Photo Studio. You will work closely with a wider studio production team across multiple sites to oversee the scheduling of workload to our still life shoot teams, including model and creative shoots.
Key Responsibilities
- Act as the studio point of contact for sample management, ensuring seamless coordination and communication with internal teams.
- Provide exceptional support to the creative, production, and planning teams, addressing queries and providing regular updates to ensure project success.
- Manage the Asana inbox, resolving and responding to various in-house and external queries in a timely and efficient manner.
- Oversee the end-to-end work and production flow throughout the studio, ensuring timely completion of projects and tasks.
- App Champion: Train, develop, and introduce the App process throughout the Studio, driving efficiency and productivity.
- Responsible for training new team members on studio processes and workflow, ensuring a smooth onboarding experience.
- Ensure that samples required for shots or projects are available at the right time and in the right place, minimizing delays and disruptions.
- Plan and prioritize your own workload based on the planning schedule and studio priorities, demonstrating effective time management and organization skills.
- Liaise with Production, Planning, and Creative Coordination teams daily to coordinate sample movement across all studio sites.
- Stay informed about ad-hoc and creative shoots within the Photo Studio and location, communicating necessary shoot information to the creative and planning teams.
- Attend meetings and present data, updates, challenges, and communication to the team, showcasing your excellent presentation and interpersonal skills.
- Identify and communicate system discrepancies or required improvements in studio internal systems or reports to management and the data team.
- Utilize the studio database to check products into the system for scheduling and check out to return to relevant Head Office departments/warehouses.
- Ensure the safety of colleagues and yourself in the workplace, reporting or dealing with any hazards, incidents, or accidents.
- Assist with ad-hoc duties as set out by Seniors or Studio Managers, demonstrating flexibility and a willingness to support the team.
- Deputize in the absence of the Senior, performing ad-hoc duties as set out by the Senior and Studio Manager.
- Manage 3rd-party projects, such as Press events, Brands shoots, and Brand Marketing shoots, ensuring seamless execution and coordination.
About You - Essential
- Excellent interpersonal skills to communicate effectively with peers and senior management.
- Ability to work well under pressure, with a flexible attitude and responsiveness to change.
- Excellent organizational experience and attention to detail, with the ability to interpret data, create reports, and update existing spreadsheets.
- Mac/PC literate, with some level of experience in data input.
- Helpful, friendly, and professional manner at all times, with the ability to contribute and work effectively within a team environment.
- Previous experience working within a similar role, with excellent Google Suite skills (i.e., Docs and Sheets).
- Able to demonstrate the ability to work within health and safety guidelines.
- Full UK driving license.
