About the Role

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Bottomline. This is an exciting opportunity for someone who enjoys working in a fast-paced environment and is passionate about delivering exceptional administrative support.

The ideal candidate will have previous experience in administration and/or HR roles, with excellent Microsoft Office skills and use of JIRA. As an Office Administrator, you will be responsible for overseeing the day-to-day running of the office location, supporting key areas such as payroll, HR, IT support, inventory, events, onboarding, marketing, and other functional areas of the business.

Key Responsibilities:

  • Assisting procurement teams to maintain up-to-date contracts.
  • Supporting Talent Operations with new employee onboarding at Theale location.
  • Organizing company events, conferences, or special meetings as needed.
  • Managing gifts for special events and ensuring shipments are handled efficiently.
  • Ordering stationery and general office supplies as routine expenditures.
  • Ensuring office deliveries and mail are properly taken care of.
  • Collaborating with facilities and procurement teams to manage office budgets.
  • Liaising with suppliers, health and safety, vendor management as required.
  • Providing support for implementing and maintaining office administrative systems.
  • Delegating tasks and communicating effectively with other employees.
  • Ensuring health and safety policies are up-to-date and adhered to.
  • Participating in global facilities team meetings to coordinate and collaborate.
  • Supporting the team in keeping JIRA records updated in a timely manner.
  • Assisting various team members with office or facility-related requests.
  • Executing tasks and assignments as directed by the management team.

What We're Looking For

  • A degree in Business Administration, Human Resources, or related field.
  • Excellent communication and organizational skills.
  • Experience with Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Ability to work independently and as part of a collaborative team.
  • Familiarity with JIRA software and its applications.

Salary Information: The estimated annual salary for this role is $55,000 - $65,000, depending on qualifications and experience.
