Key Responsibilities
  • Client Management:
    • Provide exceptional support to tenants, working closely with our property management team to ensure seamless facilities services.
    • Respond to tenant requests and calls in a timely and professional manner, meeting agreed service levels.
    • Establish and maintain strong relationships with on-site management, tenants, and stakeholders.
    • Understand and meet the evolving needs of our customers, positioning FI Real Estate Management Ltd for maximum opportunities.
  • Service Delivery & Contract Management:
    • Oversee site, infrastructure, and facilities services, including supplier and contractor management.
    • Manage daily operations of outsourced contracts, such as access control, cleaning, mechanical and electrical services, fire protection, lifts, building repairs, security, and grounds maintenance.
    • Coordinate external suppliers, contractors, and sub-contracted services to ensure seamless delivery.
    • Ensure all work complies with Health & Safety regulations and requirements.
  • Budget Management:
    • Ensure all requests are budgeted and costed according to the overall budget plan.
    • Highlight non-conformances to the work plan to the customer, ensuring clarity on how to proceed.
  • Project Management:
    • Lead projects within your field of responsibility, ensuring timely completion, budget adherence, and customer satisfaction.
    • Oversee and coordinate external contractor activities, taking responsibility for delivery to the customer.
    • Collaborate with the in-house Property Management and Projects team to deliver an exceptional client experience.
  • Business Continuity:
    • Maintain the security of company assets, including buildings, infrastructure, and services, through proper maintenance, repair, and Health and Safety policies.
    • Develop and implement a site-specific call-out procedure.
  • Office Services:
    • Manage office services to meet customer requirements, including reception, meeting and video conferencing facilities, catering, vending, security, and cleaning services.
  • Emergency Procedures:
    • Maintain fire alarm, firefighting, and emergency lighting systems in operational condition.
    • Control emergency evacuation procedures for the building.
  • Emergency Call-out:
    • Provide and manage an on-call facility for out-of-hours emergency responses.
  • Health & Safety:
    • Ensure all sites comply with statutory regulations, inspections, Codes of Practice, COSHH, and relevant Health & Safety legislation and policies.
    • Undertake Risk Assessments to minimize risks to customers.
    • Ensure contractors and suppliers comply with relevant regulations and policies.
    • Control 'Permits to work' and ensure Risk Assessments and Method Statements are provided before works commence.
  • Building & Engineering Maintenance:
    • Liaise with external contractors regarding building maintenance and manage maintenance and repair services.
    • Use competent specialist sub-contract labor to maintain buildings and plant, minimizing disruption and maximizing asset value.
    • Introduce preventive maintenance schedules and ensure maintenance and inspections meet statutory and company requirements.
    • Conduct vacant building inspections and regular site inspections.
  • Asset Management:
    • Maintain the Property and Equipment asset register.
    • Ensure asset register updates during project 'handover'.
  • People Management:
    • Ensure direct reports understand and support departmental and company objectives.
    • Responsible for the overall control, performance, motivation, team building, career, and personal development of direct reports.
    • Conduct staff reviews as directed by departmental and company procedures.
  • Reports and Communication:
    • Provide written and verbal reports as required by the Head of Facilities Management, key stakeholders, and clients.
    • Responsible for controlling accurate and comprehensive administrative records and Building File contents.
