Job Summary
We are seeking an experienced Office Operations and Acquisition Assistant to join our team at Force Recruitment. As an Office Operations and Acquisition Assistant, you will be responsible for providing administrative support to the purchasing department, assisting with day-to-day tasks and procurement activities. You will also assist the Buyer in sourcing and purchasing products/materials, maintaining and tracking purchase orders, and liaising with suppliers to ensure timely delivery of goods.

Responsibilities:
  • Administrative Support:
    • Managing daily office tasks, including filing, data entry, and responding to emails.
    • Scheduling meetings and appointments for the purchasing department.
    • Maintaining and updating supplier information in databases.
    • Preparing reports and presentations for internal use.
  • Purchasing Assistance:
    • Assisting in sourcing and purchasing products/materials as directed by the Buyer.
    • Maintaining and tracking purchase orders and delivery schedules.
    • Liasing with suppliers to ensure timely delivery of goods.
    • Supporting negotiations with suppliers on pricing, quality, and delivery terms.
    • Assisting in analyzing inventory levels and forecast needs.

Requirements:
  • Experience: Previous experience in an administrative role or purchasing/supply chain is preferred but not essential.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication skills, both written and verbal.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
    • Ability to work independently and as part of a team.
    • Attention to detail and a proactive approach to problem-solving.
  • Qualifications: A high school diploma or equivalent is required.
  • A further education or certification in business administration, procurement, or supply chain management is an advantage but not mandatory.
